Administration Officer – Djibouti
Administration Officer
Within the delegated authority and under the supervision of International Administration Officer or his/her designated mandated representative(s), the UN Volunteer National Administration Officer will:
- Key responsibilities (not all-inclusive, nor exhaustive):
- 1. Responsible and Support management of WFP resources in the area of responsibility (WFP Asset Management, Facilities Management, Light Vehicle Fleet, Travel etc.), monitor requirements and contribute to the estimation of new requirements to facilitate efficiency and cost-effectiveness of operations and services.
- 2. Coordinate the provision of a range of services such as Asset Management, Facilities management, travel, protocol and Light Vehicle Management related, etc., reporting and recommending solutions to rectify any major issues, to ensure the provision of a safe and comfortable working environment for WFP staff.
- 3. Undertake in-depth analyses of a range of data and compile and prepare comprehensive Admin reports on a monthly basis reports in order to contribute to the provision of accurate information for informative decision-making and to support the effective and timely management of WFP resources.
- 4. Coordinate, monitor and process administrative actions related to procurement, finance, human resources, etc., including contracts with external vendors, to ensure all data is accurately and timely recorded, processed in WFP corporate systems and any operational issues addressed.
- 6. Answer a range of complex queries, supporting resolution of various daily issues in order to facilitate the maintenance of the right contacts and support partnerships and activities with local authorities and various vendors in the area of responsibility and implementation of proper admin procedures, systems and internal controls.
- 7. Supervise and guide a team of staff, acting as a point of referral for them and support them in carrying out their responsibilities, to ensure individual and team objectives are met
- in compliance with the relevant regulations, policies and procedures, and performance plans.
- 8. Provide training and guidance to staff in interpretation of administrative procedures, policies, processes, and use of corporate systems, to ensure consistency and efficiency of services provided to all clients.
- 9. - 10. Remain on stand-by and follow standard emergency preparedness practices in order to meet immediate emergency requirements for further service on the job and in the field.
- 11. any other task assigned by supervisor.
- University degree in Business/Public Administration, Engineering, or other relevant field relating to office management and administration
- At least 5 years of professional work experience at the national and/or international level in Administration or other relevant programmes; experience with 5 years is an asset, as is experience working in the UN or other international development organization;
- Asset Management, Facility Management, Fleet Management & Travel Management required technical knowledge
- Excellent oral and written skills; excellent drafting, formulation, reporting skills;
- Accuracy and professionalism in document production and editing;
- Excellent interpersonal skills; culturally and socially sensitive; ability to work inclusively and collaboratively with a range of partners, including grassroots community members, religious and youth organizations, and authorities at different levels; familiarity with tools and approaches of communications for development;
- Ability to work and adapt professionally and effectively in a challenging environment; ability to work effectively in a multicultural team of international and national personnel;
- Solid overall computer literacy, including proficiency in various MS Office applications (Excel, Word, etc.) and email/internet; familiarity with database management; and office technology equipment;
- Self-motivated, ability to work with minimum supervision; ability to work with tight deadlines;
- Desirable: valid national driver’s license and proven ability to drive manual gear 4×4 over rough terrain; (if not applicable, delete)
- Sound security awareness;
- Have affinity with or interest in Administration, volunteerism as a mechanism for durable development, and the UN System.
