JOB TITLE:

 Information Technology Assistant

CHILD SAFEGUARDING: (select only one)

Level 1:  the post holder will not have contact with children and/or young people, or access to personal data about children or young people, as part of their work; therefore, a police check will not be mandatory for this post unless the content of the post changes, in which case the Child Safeguarding level should be reviewed.

Level 2: either the post holder will have access to personal data about children and/or young people as part of their work; or the post holder will be working in a ‘regulated’ position (accountant, barrister, solicitor, legal executive); therefore, a police check will be required (at ‘standard’ level in the UK or equivalent in other countries).

ROLE PURPOSE:

Provides administrative and technical services in the effective installation and maintenance of information/ data processing equipment and software packages in Banadir & Southern States area offices.

SCOPE OF ROLE:

Reports to: Area IT Coordinator – SS

Dimensions: Save the Children International works in 4 regions in Somalia/Somaliland with a current staff complement of approximately 350 staff and current expenditure of approximately 36$ million

KEY AREAS OF ACCOUNTABILITY:

  • Effectively maintain agency computers and other information technological systems. This includes preparing and installing such IT machines and appropriate software applications on servers, laptops and desktops. 
  • Examining faulty data processing equipment to identify faults and providing feasible solutions to such faults/problems. This may entail consulting the machine dealers on their performance failures.
  • In conjunction with area IT coordinator regularly assess the computer needs of staff and provide appropriate training.
  • Diagnose and resolve both hardware and software issues for staff, ensuring minimal disruption to daily operations.
  • In conjunction with area IT coordinator review policies, procedures and best practices regarding computer use, data storage and handling; and recommend to management on needed changes or improvements.
  • Carry out routine checks on electronic equipment in order to prevent their damage due to improper connections and operations or adverse acts of computer virus.
  • Troubleshoot and resolve hardware and software issues for staff.
  • Administer and manage the Local Area Network (LAN) to ensure reliable and secure connectivity for all users.
  • Other Specific IT responsibilities include.

Software:

  • Installation & configuration of necessary software and ensure consistent usage throughout the office/s.
  • Ensure that all software’s in use are appropriate and in keeping with Save the Children guidelines, global IT Policy and meet the requirements of the programme.
  • Protect the programme’s data and computers from viruses and external threats.
  • Manage the servers and ensure that data is securely organized, and relevant data is accessible to staff.
  • Implement a system for backing up data from all computers routinely and ensure that backed up data is secure at all times.

Hardware

  • Be responsible for and maintaining an inventory of IT infrastructure in relation to all IT Assets (Computers, Laptops, Printers, Switch, UPS, Routers, Software Licenses copies etc).
  • Undertake routine and regular maintenance of computers and accessories and ensure that all computers, printers and other accessories in Mogadishu and SS area are in good working condition, at all times.
  • Ensure that adequate measures are made to protect equipment from power surges or similar threats.
  • Create and maintain SCI’s hardware/software inventory by ensuring accuracy using e-asset platform and other record keeping.
  • Regularly update the IT Asset Registry, ensuring all hardware and software licenses are accurately recorded and maintained.

General

  • Provide orientation/training to staff on how to use and operate IT equipment’s effectively.
  • Provide support in ensuring quality purchases of ICT equipment’s.
  • Provide support in updating records and inventories of IT equipment’s.
  • To carry out the responsibilities of the role in a way which reflects Save the Children’s commitment to safeguarding children in accordance with the Child Protection Policy.
  • Any other roles assigned by the line manager.

QUALIFICATIONS, EXPERIENCE AND SKILLS:

  • Diploma of computer science from a reputable institution
  • One or more year experience
  • Familiar with all the day-to-day aspects of managing the IT needs of an organisation, with specific areas of the role involving: familiarity with Windows and MS Office Products (Word, Excel, PowerPoint, Access, Outlook, Teams), LAN/WAN infrastructures (routers, modems, switches, etc.); trouble shooting and administering a Microsoft Windows based network (LAN) and servers; good working knowledge of Windows server and domain system configuration, antivirus software for workstations and servers etc.
  • Good communication skills, ability to work with minimum supervision and willingness to work in a team environment.
  • Fluency in written and spoken English.
  • Previous experience in an INGO is an advantage but not a requirement.
  • Ability and experience of training end users or staff
