Title:            Internship – Administration Assistant

Start of Contract & Duration:  1 July 2021 November 30,2021 (6 months).


The Internship of Administration Assistant supports in ensuring effective and efficient administrative support to CDG Hargeisa office. S/he performs basic administrative and clerical tasks for effective administration

Key Responsibilities of Internship:

  • Support the Administration officer in developing, establishing, maintaining, archiving and auditing administrative systems
  • Coordination of accommodation booking for visitors/guests as well as new arrivals and ensure they are invoiced for payments.
  • Act as Liaison between CDG and catering company/hotel and follows with its representative on the services provided
  • Key contact person for travel arrangements including flight bookings and according to CDG security and safety protocols
  • Provides “front desk” administration
  • Provide status of utility bills/invoices
  • Handling incoming and outgoing mail/correspondence and distribution and filling of the same
  • Assist in organizing various events such as meetings, briefings and work-related training
  • Contact participants and book meeting rooms, assist with preparation of Agenda
  • Attend meetings as requested, take and prepare minutes and distribute the same to relevant parties
  • Liaise with security focal person and the officer responsible that there is sufficient lighting and firefighting equipment installed both in CDG office and guesthouse
  • Ensures that CDG office premises and guesthouse, furniture and equipment are properly managed and maintained
  • Attends to other administrative support and other duties as assigned by the direct supervisor


Reports to: CDG Administration Officer

Supervises: Cooks, Drivers & Cleaners in CDG



  • Minimum of a Diploma in Business Administration from a recognized institution
  • At least 6 months’ experience in an NGO/INGO set up
  • Computer skills in Ms word, excel, power point is paramount
  • Good organizational skills and record keeping (attention to detail is critical)
  • Cheerful presence and people skills
  • Good oral and written communication skills – both English and Somali
  • Self-motivated and able to prioritize multiple tasks in a fast-paced environment with the flexibility to work extended hours when required
  • Able to uphold high ethical and professional standards and maintain the highest levels of confidentiality


Complementing the center’s work with the legislative branch, Community police dialogues, Conflict Resolution and Peacebuilding, CDG provides technical and institutional support to the offices and head of commissions in several Institutions. Centre programs seek to help those offices be more effective in developing policies, communicating with the media and with citizens, and implementing programs and activities that deliver the benefits of democracy to their citizens.
