Job Title:             Administration Officer

Reports to:         Finance and Administration Manager

Job Location:    Hargeisa, Somaliland

Contract:             Permanent

This is an exciting opportunity to play a meaningful role in the growth of The Pharo Foundation and the pursuit of its goals.

We are looking for an enthusiastic and friendly Administration Officer to manage all program administrative tasks. You’ll need to wear many different hats; the planner, the problem-solver, being a few of these You should have the skills to communicate with various people, handle financial tasks, and ensure all programs runs smoothly.

Key duties and responsibilities:

  • Lead all administrative tasks for the office and ensure the -office is running smoothly.
  • Prepare all service level agreements for the programme office and ensure services are delivered as per the agreement expectations.
  • Keep track all service level agreements and alert due payments to the Finance Team.
  • Support the programme office procurement of supplies, identification of prequalified suppliers and the selection of the suppliers are transparent.
  • Document all procurement process and ensure the bidding committee signs off the bid analysis form.
  • Ensure the safety of all receiving supplies from the suppliers and the protection of all goods to be transported to other location.
  • Lead and strictly follow the implementation of procurement forms usage like PO, PR, GRN, Waybills, SRF etc.
  • Liaise with motor insurance providers to make sure company details are up to date, information is supplied for renewal quotations as appropriate, and to process any necessary claims.
  • Collect field mission plans and arrange the transport according to the needs.
  • Be the main point of contact for landlord liaison services to keep both sides informed of relevant information and resolve any issues.
  • Be the focal point of the health and safety for the office
  • Daily supervise and support the security guards, cook/cleaners, and drivers.
  • Oversee and regularly update office inventory and fixed asset register
  • Prepare monthly administrative report outlining the achievements, progress and challenges.
  • Perform annual performance appraisal for the Admin team.
  • Support Programme teams as needed on and off the field.
  • Support the review of the administrative policy and implementation
  • Other ad-hoc administrative duties as they may arise or as required by your line manager.

Required qualities and skills

  • Minimum 3 years’ experience in working in an international NGO in similar capacity
  • Degree in Business Administration or Management.
  • Experience in using Microsoft Excel, Word, Outlook
  • Proactive and able to manage workload with guidance from your line manager
  • Positive, enthusiastic and willingness to learn
  • Possess a ‘can-do’ attitude
  • Methodical with an attention to detail
