Role Purpose:

ROLE PURPOSE:

The main purpose of this intern is to support Garowe supply chain officer; more particularly in procurement, filing and preparation of payment documents. The recruitment of this supply chain intern is intended to increase the effectiveness and efficiency of SCI Garowe supply chain office.

ROLE PURPOSE:

The main purpose of this intern is to support Garowe supply chain office; more particularly in procurement, filing and preparation of payment documents. The recruitment of this supply chain intern is intended to increase the effectiveness and efficiency of SCI Garowe supply chain office.

SCOPE OF ROLE:

Reports to: Supply Chain Officer

Staff directly reporting to this post:  Non

KEY AREAS OF ACCOUNTABILITY:

The Supply Chain Intern will have the following duties and responsibilities under the supervision of the supply chain officer:

1. Procurement

  • Prepare payment documents under the supervision of the Supply chain officer at SCI Garowe office
  • Support the supply chain officer to deliver timely procurement services in accordance with SCI procurement policy and procedures as well as that of the respective donors
  • Assist the supply chain officer and the supply chain coordinator in updating the supplier database
  • Support the supply chain officer in drafting contracts and Purchase Orders (POs)
  • Assist the supply chain officer in maintaining contact with suppliers regarding request for quotations (RFQs) and procurement orders
  • Support the supply chain officer in preparation of monthly procurement reports

2.  Filing

  • File paperwork in an appropriate manner
  • Improve the accuracy of the filing system
  • Retrieve paperwork when it is requested
  • Input paperwork into an electronic database when needed
  • Update records with new information
  • Perform regular quality checks on the filing system
  • Keep logs of paperwork that is taken out
  • Ensure that sensitive information of SCI is safeguarded

3. Other Duties

  • Be aware of Save the Children’s key Policies and Procedures, including Child Protection, acting in a manner consistent with their requirements and specific responsibilities of the post
  • Undertake any training required to meet the objectives of the post
  • Undertake any other duties of an equivalent nature as determined by Management following consultation with the post holder

QUALIFICATIONS AND EXPERIENCE

  • Bachelor Degree in Procurement and supply chain or equivalent from reputable institution.
  • Demonstrated language skills in English
  • Computer skills on MS Word, Excel, internet and emails
  • Commitment to and understanding of Save the Children’s aims, values and principles
  • Able to work with little supervision, using considerable initiative
  • Good interpersonal and team working skills
  • Sensitivity to gender and diversity issues in work practices

Desirable:

– better understanding of Somalia context in general and in particular Puntland state of Somalia.
