Job Title:                                 Academic Program Planning Officer (APPO)

Reporting to:                         Academic Vice President

Employment Status:            Full-time with 3 months of probation period

Location:                                   Hargeisa, Somaliland

Salary                                        Pay Grade B-5

Description:                                       The Academic Program Planning Officer plans and programs the academic activities and resources of the University. He/she is in charge of, setting the academic calendar, arranging the course offering of semester classes, as well as scheduling and coordinating classes and examinations for all levels of every academic program in each semester.

Major Duties:

  1. Collects all relevant data related to the academic affairs of the University (number of teaching staff, number of courses offered, load of each teaching staff and available teaching resources.
  2. Plans the annual academic program of the University based on the collected data in consultation with the Registrar and by looking at previous academic programs.
  3. Collects information on the availability of lecturers at least three weeks before the commencement of courses.
  4. Arranges and coordinates make-up examinations as per the academic calendar of the University.
  5. Prepares the list of the part-time staff and their teaching load per week for the use of the Finance Department of the University.
  6. Prepares examination programs, facilitates venues, invigilators and follows-up the implementation.
  7. Collects all examination papers from all the instructors two days before the examination date and hands over to the Campus Examination coordinator a day before the examination date.
  8. Ensures that all examinations are at standard level and prepared in timely manner.
  9. Submits a report to the Academic Vice President on the execution of examinations; signs the examination result slip.
  10. Collects course content proposal from the departments a month before the commencement of new semester.
  11. Assigns Instructors to the course on offer by each department.
  12. Handles and solves problems related with make-up, supplementary examinations and related issues.
  13. Actively follows student’s academic status and advises student accordingly.
  14. Handles all other assignments given by the Academic Vice President.

 

Education and Experience:      A master’s degree in Education, Business, Information Technology, and Social Science areas is more preferable.

Skills:                                                 To perform this job successfully, the individual must be able to perform each duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required:

  • Excellent organizational and planning skills;
  • Excellent communication and presentation skills;
  • Good analytical skills;
  • Skilled in organization and coordination of complex programs;
  • Technical skills in the appropriate software packages used in planning and scheduling.
  • Ability to work independently;
  • Demonstrated commitment to cultural diversity and ability to work with individuals or groups with diverse backgrounds;
