Position: Admin/HR Assistant- Internship

Who we are?

Shirkadda Kirayso-(SK) is a Somali Rental Platform Champion in housing with expertise of real estate sectors across multiple regions in Somaliland. The company’s business model is unique in its ability to own, operate, and develop collegiate, multifamily, corporate, and senior housing across Somaliland. The vision of the company is bringing a globally interconnected professional rental housing platform which connects real estate owners and renters easily and more tech-based approaches.

This role has an area focus and responsible for performing specific HR & Admin functions. The post holder will be responsible for performing general Human Resources and Administration functions, playing a key role in the overall HR functions including staff recruitment, contracts preparations, staff leaves/attendance and time-sheets tracking.

Responsibilities:

Human Resources:

  • Ensure that leave, recruitment and training trackers are updated on a regular basis.
  • Monitor staff attendance and ensure that all monthly attendance reports are filed on time.
  • Assist in communicating with interview candidates and scheduling for written tests and oral interviews.
  • Prepare employee contracts.
  • Responsible for ensuring all HR files are accurate, complete and up to date such as personnel files, medical insurance, attendance report etc.
  • Assist managers and staff on effective performance management and administer the collation of performance management documentation
  • Coordinates the daily activities of Cooks & Cleaners
  • Ensure new staff receive an appropriate orientation and induction including schedules.
  • Ensure exit and clearance is carried out for exiting staff.
  • Support staff development activities including promoting the SHK Learning Catalogue.

Administration:

  • Ensure that all office systems and equipment (power, water, telephone, etc.) are in good working order. Payment of office and guest house bills.
  • Responsible for office supplies.
  • Responsible for necessary repairs & maintenance for office and guesthouse in a timely manner in coordination with the Logistics staff.
  • Manage all contract arrangements with lessors and ensuring that contractual obligations are adhered to.
  • Establish central mail recording system and filing system.
  • Maintain office notice boards
  • Ensure that SHK staff have Identification cards (ID).
  • Facilitation of accommodation booking for new arrivals and ensure suppliers invoiced and payments done on time.
  • Responsible for facilitating document approvals from the senior management (CD, HoPs, HoSS & AMs) staying in Mogadishu and sending back to the requestors.
  • Support area events such as meetings, briefings and work-related training in SHK office
  • Manage staff lunch contributions and Guards food including regular inspection of kitchen facilities.
  • Maintain availability of admin forms in the front desk.
  • Responsible for ensuring all Admin files are accurate, complete and up to date such as visas, utilities etc.
  • Any other tasks assigned by the line Manger.

The responsibilities listed in the JD are not exhaustive and may be readjusted according to operational needs but will remain in line with the overall purpose of the role.

Education, experience & technical competencies

  • Diploma or Degree in Business Administration or equivalent professional qualification.
  • Minimum one-year experience in similar position
  • Excellent organization skills, self-motivated, proactive and able to accomplish set deadlines
  • Good computer skills-especially Excel spreadsheet and able to work with formulas, power point and word
