Plan international has opened an office in Somaliland and started programmes that focus on child protection, education and youth economic empowerment programming both humanitarian and development setting, working with/through partners and providing technical support to INGOs, Somaliland NGOs and the Government of Somaliland in Plan’s areas of expertise

The purpose of this job is to contribute the organisation’s effective Administration and HR processes’ and effectiveness. The post holder will support the Admin and HR coordinator in the areas of filling, Recruitment, procurement and asset and inventory updating. And other Administrative day to day duties as per Plan’s system and procedures.

  • Based in a typical office environment whilst in the Office;
  • Where required, periodic travel

Accountabilities and MAIN WORK ACTIVITIES

Human Resources:

  • Maintain Personnel Files up to date.
  • Regular check that the staff have submitted their timesheets on a regular basis.
  • Support the HR and Admin Coordinator in safeguarding sessions, plans and reports
  • Support induction and on boarding of the new staff
  • Assist the HR and Admin coordinator in recruitment cycle.
  • Any HR tasks as might require by the line-manager.
  • Supervise the subordinate staff (Drivers and Cleaners, …)

Administration

  • Update inventory data base monthly for all assets including partner assets where applicable
  • Ensure vehicle management policy and ensure compliance
  • Lead travel arrangements, visa, permits, SPU arrangements alien registration for staff and visitors, accommodations preparing.
  • Ensure that the office premises are well maintained and provided with common services.
  • Ensure smooth day to day running and security of the office, staff and visitors.
  • Raise the PRs as required.
  • Assist the Admin and HR coordinator in Procurement cycle and its reports
  • Perform other duties and/or assignments as required.
  • Ensure that the proper documentations / files are in place.
  • Organise workshops and trainings sessions by reserving the venue, the transportation availability for the staff or participant, stationery, meals and so on.

Technical expertise, skills and knowledge

Qualifications/ experience essential:

  • A bachelor Degree in Administration, Economics, Social work, International Relations, Development or similar field;
  • 3 years of relevant experience in INGO Sector or demonstrated equivalent combination;

Languages required

  • Excellent written and verbal communication skills in English
