JOB TITLE: Administration Intern

CHILD SAFEGUARDING: Level 3 – the role holder will have contact with children and/or young people either frequently (e.g. once a month or less) because they work in country programs; or are visiting country programs; or because they are responsible for implementing the police checking/vetting process staff.

ROLE PURPOSE:The Administrative intern will provide support to the Office relating office administrative responsibilities. This role includes smooth functioning of the administrative workflow of the organisation.
SCOPE OF ROLE:Reports to: Admin Assistant

Dimensions: Save the Children works in 4 regions in Somalia with a current staff complement of approximately 450 staff and current expenditure of approximately GBP 30 million each year

Staff directly reporting to this post: None.

Under the overall guidance of the Field Manager and Human Resource/ Admin Officer, the intern is expected to perform the following tasks: 

  • Help the Admin in Hotel & venue bookings
  • Help with staff flight requests
  • Process visa for the staff
  • Process administration payments on monthly basis
  • Ensure new staff, visitors and guest from other SCI programs get office tours upon first day of joining the office
  • Help with staff in getting ID cards within week of their employment
  • Process Insurance Cards, Claims, Replacements, lost cards
  • Manage the reception of visitors to the office and deal with their requirements and maintain a logbook of all visitors and purpose for their visits
  • Comply with all relevant Save the Children policies and procedures with respect to child protection, health and safety, security, equal opportunities, and other relevant policies.
  • Comply with all relevant Save the Children policies and procedures with respect to child protection, Health and safety, fraud, whistle blowing, equal opportunities and other relevant policies
  • Coordinate the orientation of new staffs
  • Filing of admin documentations (general, leave, etc.)
  • Support in maintaining a user-friendly filing system.
  • Supervise cleaners & cook
  • Process monthly admin payments such as water, electricity, internet, flight bookings and office/GH payments
  • Prepare and ensure office stationeries are well prepositioned
  • Carry out small maintenances such us fixing water taps, lumps, wires
  • Facilitate the recruitment processes, map candidates, and advise recruitment manager recruitment process
  • Process and document all types of leaves, advise managers on staff cover up while on leave
  • Any other duties as may be assigned by the supervisor.

  • Effective administrative support for staff.
  • Effective support to newly recruited staff members.

QUALIFICATIONS AND EXPERIENCE

  • Minimum Diploma of qualification in Human Resource, Business Administration from a recognized university.
  • Computer skills especially in Ms Excel, spread sheets, Ms Word.
  • High level of integrity and ability to work as part of a professional team
  • Ability and willingness to work under high pressure to meet tight deadlines
  • Good communication and interpersonal skills
  • Supportive personnel management style
  • Good command of English both written and spoken

·       Willingness to work in odd hours, go extra mile and travel in often difficult and insecure environments.

·       Commitment to Save the Children values

Desirable:

·       Working experience is Central Somalia and especially Mogadishu.

  • Minimum at least 3 – 6 months’ experience working in similar role in an INGO or with a busy working environment
