Location         :          Berdale

Position Summary

The Data Clerk receives, reviews, and enters data into computer system or tracking database according to established procedures. Ensures accuracy of all data recorded and performs database maintenance functions in all databases within respective SOS Children’s Villages Programs.

JOB RESPONSIBILITIES:

  • Keeps track of received data and source documents.
  • Prepares and sorts source documents, and identifies and interprets data to be entered.
  • Contacts preparers of source documents to resolve questions, inconsistencies, or missing data
  • Data entry on the programme data base System. Enters alphabetic, numeric, or symbolic data from source documents into computer following format displayed on screen, and enters necessary codes.
  • Confirms accuracy of data such as days, dates and times
  • Compares data entered with source documents, or reenters data in verification format on screen to detect errors
  • Reviews and makes necessary corrections to information entered.
  • Compiles, sorts, and verifies accuracy of data to be entered.
  • Processes various forms.
  • Assists in establishing and maintaining an effective and efficient records management system.
  • Generates reports and responds to inquiries regarding entered data as requested.
  • Contributes to a team effort and accomplishes related results as required.
  • Maintains confidential information
  • Perform other job related duties as assigned.
  • Prepares requisitions for program materials ensuring that the procurement procedure is followed.
  • Counts sorts incoming articles to verify that all items on the delivery note or invoice have been received.
  • Examines all items received to verify that they are in good condition and conform to the specifications contained in the requisition or order form.
  • Issue stock to authorized project staff keeping accurate records of all materials issued and maintains up-to-date inventory as well as all stock records and is responsible for annual stock taking.
  • Prepares requisition or order for new stock in order to meet the on-going requirements of project.

Ensures the cleanliness security and good order of the stores and the general office environment

Qualification and Job competencies:

  • Degree in Computer Science or equivalent.
  • 1-year work experience in relevant position
  • Excellent knowledge of word processing tools and spreadsheets (MS Office Word, Excel etc.)
  • Working knowledge of office equipment and computer hardware and peripheral devices
  • Basic understanding of databases
  • Good command of English both oral and written and customer service skills
  • Great attention to detail
