Job Description
Under the direct supervision of the GM, the GM Secretary will be responsible for the following tasks: telephone communication & system, coordination of visitors, secretariat assistance, filling and record keeping, correspondence and coordination of internal communication, scheduling time management, coordination of office maintenance, maintenance of office confidentiality, meeting documentation and reporting.

Main Roles & Responsibilities
- Act as the point of contact between the manager and internal/external clients
- Handle requests and queries appropriately
- Manage diary and schedule meetings and appointments
- Make travel arrangements
- Produce reports, presentations and briefs
- Preparing communications on behalf of a manager
- Organizing and planning meetings
- Taking notes and writing minutes during meetings
- Conducting or preparing any research that the reporting manager may require
- Maintaining company schedules
- Organizing documents and files
- Greeting business clients and guests
- Documenting financial information
- Maintaining and ordering office supplies
- Scheduling meetings and conferences
- Assisting executives with project tasks
- Supervising staff and new employees
- Coordinating with other organizations
- Implementing administrative procedures
- Maintenance of Office Confidentiality
- Coordination of Office Maintenance
- Various ad hoc requests
Skills and Qualifications
Proven work experience as a Personal Assistant
Knowledge of office management systems and procedures
MS Office and English proficiency
Outstanding organizational and time management skills
Up-to-date with latest office gadgets and applications
Ability to multitask and prioritize daily workload
Excellent verbal and written communications skills
Discretion and confidentiality
Bachelor degree
PA diploma or certification would be considered an advantage
