Job Title: Human Resources Clerk
Ministry/ institution: State Presidency
Department: Human Resources
Grade Level & Classification: Grade 5
Reporting to: Human Resources Officer
Salary: $386
Hours: 36 hrs per week
Location: Hirshabelle, Jowhar

 

  1. Purpose of the position

The human resource Clerk will support planning, controls and the implementation of HR services for the employee cohesive relation, evaluating human resources policies, programs, and practices. Support effective administrative monthly payroll of the state presidency staff in accordance to the HSS PFM policies.

 

Under the directives of the HR director the Human Resources Clerk will support the Civil Service Commission (” CSC”) in the implementation of people-related services, policies, and providing information in relation to Human Resources issues CSC legislations.

 

  1. Duties & Responsibilities
  • Prepare, process, and review a variety of documents, such as job descriptions.
  • Receive and answer phone calls and redirect them where necessary in relation HR departmental functions.
  • Support the daily/weekly/monthly agenda and arrange new meetings and appointments.
  • Prepare and disseminate correspondence, memos and forms.
  • File and update contact information of employees, customers, suppliers and external partners
  • Support and facilitate the completion of regular reports.
  • Support and maintain a filing system within the HR department.
  • Check frequently the levels of office supplies and place appropriate orders.
  • Keep record expenses of the HR department and present when requested by the HR Director
  • Undertake occasional receptionist duties when it is required.
  • Handle confidential documents ensuring they remain secure.
  • Maintain electronic and paper records ensuring information is organized and easily accessible.
  • Assist Photocopying, Printing and scanning services to the HR Director
  • Carry out any other assignments requested by the HR Director
  1. Qualifications and experiences
  • Diploma in Human resource/ BA or PA is desirable.
  • 2 years’ work-related experience obtained by working in the area of human resource or business in a public sector department or institution.

  • Excellent communication skills both written and oral for Somali and English languages
