Responsible for overseeing the distribution of medications to people with various physical or mental health conditions. Their duties include communicating with the clinical officer to determine the type of medication and dosage for a patient, taking inventory of pharmaceutical drugs to reorder them based on local demand and interacting with pharmacy customers to give them their prescriptions and answer medication questions. Medical and nutritional medication is correctly dispatched and delivered to the patients in the outreach programme.

Factor Essential Added Advantage
Professional/ Academic Diploma in pharmacy technician from an accredited institution preferred licensed as a pharmacist Knowledge of Humanitarian Programming
Relevant Work 2 to 4 years of relevant experience with a sound understanding of humanitarian integrated health program delivery.
8.    Specific duties & responsibilities Job Responsibilities

§   Responsible for overall logistic management in the field of Medicine

§   Forecast the monthly and quarterly supply need and communicate with the SOLO clinical officer and program coordinator to ensure stock availability (no stock out)

§   Monitor the daily consumption of the team and arrange the next day’s supply needs accordingly.

§   Notify nearly expiry drugs on time and facilitate on-time utilization and disposable if incase

  • Facilitate and support the re-distribution of supplies from identified mobile sites and the primary healthcare centre (PHP) facility to ensure service continuity.
  • Oversee the medical drugs and supplies quantification and ensure that all procured items are in the Essential Drug List program. S/he will ensure drug consumption data is collected at health facilities, aggregated, analyzed, and used for forecasting the needs of the program
  • Monitors the availability of medical products to avoid stock-outs and financial losses generated by expired items; Collaborates with the SOLO team (Clinical officer, Health and Nutrition Coordinator and senior management team).
  • In close collaboration with the Warehouse officer(s), develops stock levels alert (based on an average monthly consumption AMC and morbidity data); gathers stock indicators, analyze them, and discuss with the program Coordinator / Supply Chain coordinator to avoid stock-outs and the financial losses generated by expired items.

Documentation Verification:

§   Conduct systematic checks of all medical goods purchased locally and for direct shipments, and control their details to correspond to the requested specifications and the received documentation.

§   Check the conformity of the received goods with the PO (Purchase Order) and the PL (Packing List) (strength, origin, manufacturer, batch number)

Transportation and Storage:

§   Ensure transportation of medical goods (including any dangerous goods and cold chain) is done appropriately and follows the national regulations.

§   Involve in conducting GDP self-assessment for the central warehouses and follow up on Corrective Action Preventive Action (CAPA) implementation.

§   Handle cold chain products according to the recommendations of the manufacturer.

§   Follow up cold chain equipment is working correctly, and that daily temperature monitoring of cold chain items is in place

§   Report to clinical officer any cold chain breach (fills the cold chain breach report), who will advise on releasing the products.

§   Follow up on appropriate storage conditions for medicines (including dangerous goods products) and advise any need for improvements.

§    Ensure stock rotation according to FIFO (First in First Out) and FEFO (First Expiry First Out).

  •  Support in conducting monthly and annual physical stock counts.

Quality Assurance of Commodities:

§   Investigate and put in quarantine any medical product that has been identified as suspect – meaning that it may be counterfeit, unapproved, or potentially dangerous.

§   Ensure disposal of health care products is done according to national and or SOLO Waste Disposal SOP and maintain a disposal file.

§   Handle any claim or batch recall according to National guidelines.

§   Ensure full traceability of the medical product’s journey through all the stakeholders in the supply chain and is responsible for batch recall.

§   On request, perform any additional duties or instruction given by the Clinical officer.

9.    Essential skills: §   Prior experience with pharmacy inventory management systems and pharmacy distributing management experience,

§   Ability to work in a complex team environment and to collaborate with both external and internal professionals and patient

§    Excellent verbal and written communication skills in English and Somali.

§   Able to demonstrate skills in prioritization, problem-solving, team building, decision making, time management and strategic planning.

§   Knowledge of laws and regulations regarding pharmacy in the country.
