KEY ACCOUNTABILITIES (not all-inclusive)
- Provide specialized support to manage the administration of the information management system (COMET), including review of entered data to ensure quality, and regular updates, in line with corporate requirements.
- Ensure timely creation, amendment, validation and uploading of relevant documents such as Partnership Agreements (PAs), and actual data entries (in-kind &CBT) and also creation and validation of Food Release Notes (FRNs)
- Liaise with Sub-unit leads for timely creation, and review and validation of monthly Distribution Plans (DPs) in line with the CO Implementation Plan (IP) and share with Supply Chain Unit to support timely dispatch of WFP assistance.
- Assist in managing all monitoring and evaluation data/information through corporate databases (COMET) in coordination with relevant Sub-units.
- Provide technical support and guidance, facilitate training for WFP and Cooperating Partners’ staff on COMET including data collection and entry using tablets/mobile phones.
- Prepare pre-analysis reports from the real-time information management system and assist in data analysis and report writing.
- Within the specific area of responsibility, prepare and develop technical and user manuals, training materials, and standard reporting templates.
- Ensure partners’ regular reporting, reformat their reports as needed, and perform data entry into relevant databases (COMET).
- Coordinate and review CP distribution reports, identify errors, and suggest data collection format improvements.
- Coordinate meetings with Cooperating Partners and ensure timely follow-up on agreed action points.
- Manage dashboards in WFP analytics for Area Office operational tracking tool to support technical units to ensure data quality and availability in the corporate systems for decision making by senior management.
- Provide data input and help prepare ad-hoc, weekly, monthly, quarterly internal, and external reports.
- Consolidate planned and actual distribution data reported by the Field Offices/Sub-units, monthly, to ensure consistency and accuracy of recipients, Cash-based and In-Kind data.
- Provide technical support to updating monthly distribution plans and partners report submission status reports.
- Perform other related duties as required.
STANDARD MINIMUM QUALIFICATIONS
Education: Completion of secondary school education. Diploma or degree is desirable in statistics, economics, Information Technology, Research in the related Functional area or other relevant field in the related functional area.
Language: Fluency in English, both oral and written communication
REQUIRED EXPEREINCES FOR ENTRY IN TO THE ROLE
Experience: Has at least six (6) years of relevant data management experience with secondary certificate or three (3) years of relevant experience with diploma or bachelor’s degree. Experience in data management and analysis.
KNOWLEDGE AND SKILLS
- Excellent written and verbal communications skills; high attention to detail and proofreading ability; good research and analytical skills; ability to meet deadlines and work under pressure as part of a team; good communication and networking skills; ability to work independently while asking questions and seeking support in a fast-paced work environment; willingness to work in challenging environments / field locations.
- Proficient in MS Office package, particularly in Microsoft Excel and PowerPoint. Demonstrated ability in data acquisition and knowledge of Access or other database tools is a great advantage. Data management skills.
TERMS AND CONDITIONS
Contract duration: 1 year, Initial, renewable.
